As the leading provider of data services to schools in the UK, Groupcall naturally takes data privacy very seriously. We are compliant with the General Data Protection Regulation (GDPR) and all other applicable data protection laws, and only use third party suppliers who are also fully compliant.

This privacy policy specifically relates to how we collect, store and use data about users of www.groupcall.com. For our customers and partners, a full explanation of how we manage business and customer data is included in our customer contracts.

What information do we collect?

When you visit www.groupcall.com, we collect information in two main ways.

  1. As a normal browser of the site

When you browse our website, we collect information such as your IP address, the pages you visit and your operating system and browser type. We use this information to anonymously analyse how our site is used to give you the best possible experience. For more information, please see our cookies page.

  1. When you opt to submit personal information

We collect your information when you opt to give it to us, such as when you request to view certain content or when you register for an event or conference by submitting your personal information. We only use this information for the purposes requested, and you can opt out at any time by visiting our Preference Centre.

Who will the information be shared with?

Groupcall are now part of the Community Brands UK family, including Eduspot, Wisepay and Assembly. The information you submit to us as part of an application, request or enquiry will be shared with relevant business units within Community Brands UK to fulfil your request. In some instances, we will share information with a third party to perform a task on our behalf, such as a fulfilment house to dispatch a letter.

These third parties may come into contact with your personal information in the course of providing their services to us, but they must provide equivalent levels of security for your personal information in the same way that Groupcall and Community Brands do.

We will never sell your personal information to any third party.

We may share certain personal information (for which we are a controller under applicable data protection laws) with our affiliates outside the UK including in the US where data protection laws are not deemed to have the same level of adequacy as in the UK or Europe in accordance with the lawful transfer mechanisms such as standard contractual clauses.

Third parties on our website

We only engage with third parties who are fully compliant with the GDPR.

AddSearch: The search function on our website is powered by AddSearch. This service doesn’t collect any personal data from users. For more information please see AddSearch’s privacy policy.

Hubspot: The majority of our public websites and subdomains are hosted in Hubspot. All information we collect through our website is used, disclosed and protected by Groupcall and this privacy policy. We use a standard Hubspot service to collect anonymous information about users’ behaviour patterns, for example, the number of page views on the site, to enable us to tailor content and create better user experiences. Wordpress: One of our subdomains (parents.groupcall.com ) is currently hosted on wordpress.com. This service is run by Automattic Inc. We use a standard WordPress service to collect anonymous information about users’ behaviour patterns, for example, the number of page views on the site, to enable us to tailor content and create better user experiences. LiveAgent: Our instant live chat support service is powered by LiveAgent and allows us to respond to customer enquiries in real time. When using the live chat feature we will ask you for your name and email address and your live chat conversation information may be appended to a record in our CRM system.

At your request, we will send you a transcript of your live chat session to your email address. For more information please see LiveAgent’s privacy policy.

Google Analytics: We use Google Analytics to collect standard information about the details of visitor behaviour patterns to certain parts of our website. Google do not collect information from us that identifies any of our users.  

You can find out more about Google’s position on privacy as regards its analytics service on their safeguarding your data page. Visitors may choose to opt-out of Google Analytics tracking with the Google Analytics opt-out browser add-on.

Remarketing

We use a remarketing service to help us match our key advertising messaging with the right people. When you visit groupcall.com, a third-party service, AdRoll, may place cookies on your browser for targeted advertising purposes, as covered by our cookie policy. These cookies collect information such as IP addresses and website activity. You can choose to opt-out of remarketing by visiting the AdRoll opt out page.

Third party marketing

Groupcall processes personal data from a third party, The Education Company, for the purposes of direct marketing. The Education Company remain the data controller for this data, and the information they collect and distribute is done so under The Education Company privacy policy. You can check your email marketing preferences on our Preference Centre.

Emails

Some of our emails use web beacons (single, invisible 1x1 pixel images that are downloaded when emails are opened). The web beacon itself does not contain any personal data but allows us to monitor whether emails have been correctly received, opened and clicked on and to improve the overall email experience we provide.

Contacting us via social media

We use a third-party provider, HubSpot to manage our social media interactions. HubSpot does not store messages sent through social media, but may store publicly available information such as ‘tweets’, ‘likes’ and ‘retweets’.

Security and performance

We are committed to ensuring our website provides a secure experience for our users. We regularly use automated tools to scan our website for security flaws, and any credentials used by these tools do not permit access to personal data.

Job applicants, current and former Groupcall employees

Groupcall are the data controllers for the information you provide on our website during the application process unless otherwise stated. The information you provide during the process will only be used for the purpose of progressing your application, or to fulfil legal or regulatory requirements if necessary.

Your rights

You have rights as an individual to control the information we hold about you under the General Data Protection Regulation and the Privacy and Electronic Communications Regulation (PECR).

Subject Access Requests (SARs)

You have the right to make a subject access request under the General Data Protection Regulation. If we hold any personal information about you we will:

  • Give you a description of it
  • Tell you our legal basis for retaining it
  • Let you have a copy of the information in an intelligible form.

 

To make a request to Groupcall for any personal information we may hold you should put your request in writing and e-mail it to : Support@Groupcall.com

You may need to provide:

  • Additional contact information and identifiers, such as phone number(s), email address(es), payroll number
  • Proof of identity using two pieces of approved identification

 

In all cases Groupcall will use reasonable efforts to supply, correct or delete personal information about you on our files.
